The Background

Wycombe District Council owns a large number of non operational premises which are leased to commercial enterprises. The objectives are to effectively manage the tenancies, optimise revenues and encourage economic activity in the area.

The Problem

The lease information is held in paper format and is not readily available. The council has procured Uniform 7 estates management system and it was necessary to extract lease information and populate the database. The system also required some customisation and user training to ensure effective management of the system at a high level of productivity.

The Solution

IONIT helped the Council to understand the structure of the database and establish the reporting capability. Appropriate resources have been employed to extract lease information and digitise the lease information and input into the database. Key events material to each lease have also been digitised:

  • Digitised lease database
  • Real time information
  • Event diary of key tasks for each user
  • High security and access of data to authorised individuals only
  • The Benefits
  • ION established a methodology for digitising the information and is carrying out this activity within very demanding time and cost constraints. Embedding the system offers a number of important benefits:
  • Better management and control of the lease information.
  • Effective and operational system.
  • Access to all the important data for all those concerned, wherever they are
  • The ability to make strategic decisions based on real time information
  • Optimise opportunities
  • Cost effective solution
